OCLC Statistics and the ILLINET Interlibrary Loan Survey
 
Each year Illinois Libraries are required to complete this report. The statistics are for a year that begins July 1 and runs to June 30. The information here gives instructions on how to retrieve this information from OCLC.

 

SHARE/Polaris and the ILLINET Interlibrary Loan Survey

 

Each year Illinois Libraries are required to complete this report.  The statistics are for a year that begins July 1 and runs to June 30.  The information below gives instructions on how to retrieve this information from the SHARE/Polaris catalog.

For Questions 2.3 amd 2.4

Under  Utilities/Reports and notices, There is a System Folder near the bottom, Open it and click on the Statistical Summary report.  Put in July 1 - June 30.
This will give the number of holds placed and # of holds Satisfied.
This will give data for 2.3 and 2.4  To this you would have to also add the info from OCLC.  Those reports indicate if the hold was filled or not.
 

To find the number of interlibrary loans borrowed from other libraries ILL Survey RECEIVED In-State 2.5 & 2.6

Report: Utilities/Reports and Notices/Circulation/Circulation by Items Loaning Branch 

Instructions: Enter your dates and pick your library

Information: The report lists the ILL numbers for each library in alphabetical order. It includes your library’s information as well. Find your library in the report. It will show all your library’s items and checkouts in the date range . Look for your total of items in the item column for Item Branch – just your library – record that  number. Go to the last page of the report, there is a Grand Total of items and of circulation.  You want the itemm count..

Calculation: Item Grand Total – Your Library’s Item Total = Borrowed From item number

This is the total number of items borrowed from SHARE Libraries.

+Add to this number, any items borrowed through OCLC from Other Illinois Libraries or iShare (Carli).

For Questions 3.3 and 3.4
There is no report in Polaris that can tell you this.
Again the OCLC reports do indicate those you filled or denied.
For Polaris you can use the number given in 3.5  for 3.4 plus any OCLC.
Do you have any idea about how many request that you do not fill on average in a week.  If you do you can figure what that percentage is and add that to the 3.4 number for the 3.3 number.  This is not an exact count but should be fairly close.
 
As an example if in a week you would get 1550 request and don't sent 77.  That would mean that you filled 95%.  Take the Polaris  number for 3.5 and divide by .95 and this would be the total received for 3.3 plus any OCLC.

To find the number of interlibrary loans loaned to other libraries ILL Survey SUPPLIED In-State 3.5 & 3.6

Report to use: Utilities/Reports and Notices/Circulation/Circulation by Items Assigned Branch

Instructions: Enter your dates and select your library.

Information: The report lists the ILL numbers for each library in alphabetical order. It includes your library’s information as well. Find your library in the report. It will show all of your library’s Items and check outs in the date range.  Look for your total number of items for Loaning Branch – just your library – record that  number. Go to the last page of the report, there is a Grand Total ot items and of circulation. You want the item count.

Calculation: Item Grand Total – Your Library’s Item Total = Items Loaned To Number

This is the total of items loaned to SHARE Libraries

+Add to this number, the circulations to other In-State ILL patrons by one of these two methods:

1. Patron Circulation Statistics—Utilities / Reports and Notices / ICirculation / Patron Circulation Statistics
(Count patron codes ILL In-State)
(Patron codes ILL Out-of-State will be used for 3.8 &3.9)

2. Use OCLC Statistics.

 

To find the number of reciprocal circulations ILL SURVEY 4.2 Generally, PUBLIC LIBRARIES ONLY

Report: Utilities/Reports and Notices/Circulation/Patron Cross Borrowing

Instructions: Enter your dates and pick your library.

Information: This report lists your circulation by patron code. It includes your library’s information as well. Find your library’s Total for Patron Organization – record that number. Go to the last page of the report, there is a Grand Total listed in the last column.

Calculation:

Grand Total

 – Your Library’s Total

+ any amounts listed under your library’s reciprocal patron codes*

= Reciprocal Borrowing circulation number

 

*Your library’s reciprocal patron codes are for patrons from non-Polaris libraries
